From Operator to Supplier: A Logical Step with Remarkable Results

Holiday House Coffee opened its doors in 1981, providing OCS products to a wide range of customers in the Greater New York area. In the beginning, we sold the very same products as most of our competitors. But that’s where the similarities ended. We observed the industry, we listened closely to our customers, and very quickly we realized that a need existed among large corporations that maintained multiple locations and wanted to maximize their purchasing power. After listening closely to purchasing agents, location managers and other key sources of information, we created a computer-based reporting program that provided detailed breakdowns of purchases, uniform pricing across all locations, budgeting models and usage detail. The end result was a streamlined system that made our customers’ lives easier and, perhaps more importantly, made them look good in the eyes of their management. Because Holiday House clearly understood the notion of providing quality OCS products at affordable prices, the company ventured into the development of private label products. Selecting products that met existing and emerging customer needs was a skill that further differentiated Holiday House from other OCS operators. The result was repeat business, a growing number of annual contracts and a reputation for innovation based on a simple premise – listen closely to the customers and let them determine the most important features and benefits, and product development priorities. It was a habit we developed early and practiced often. Within eight short years, our company grew to 10 times its original size, and Holiday House became the go-to supplier for many of the area’s largest institutions.

As the popularity of coffee, coffee products and equipment continued to explode in the 1990s, the demands upon OCS operators were making it difficult for them to run down individual parts and fittings at local hardware, electrical and supply outlets. Such practices were time consuming and expensive, and very often the consistent availability of parts and products was unreliable. Again, Holiday House watched, listened and responded to the industry…and Holiday House Distributing was born! HHD began operating from the Winklers’ attic. Orders were filled in the basement and pushed through the basement window to the UPS truck. From this humble beginning, HHD grew into a one-stop shop for OCS operators, offering many standard and hard-to-find plumbing parts needed to install and maintain the newest models of coffee brewing equipment and water dispensers. The company began by purchasing coffee brewer parts from many major manufacturers, water cooler parts, water filtration products, plumbing supplies and electrical products, as well as tools for the trade. Yet, given our legacy of listening and acting on our customers’ needs, in 2005 HHD again took the bold step toward designing and producing our own line of products. Today, we have a full line of the most popular OCS items such as brewer parts, airpots, thermal gravity dispensers, coffee decanters, condiment caddies, racks, and cup dispensers just to name a few. All priced to provide unbeatable savings and maximize our customers’ margins.

Holiday House Distributing is a wholesale distributor for the OCS operator that began in Lynbrook, New York. A catalog of coffee brewer parts from the major manufacturers, water cooler parts, water filtration products, plumbing supplies, electrical products as well as tools for the trade was created and continues to grow. The facility in Land O’ Lakes, FL. is 35,000 square feet. There is a warehouse in Las Vegas. The Special Philosophy... If there’s a secret to HHD’s success, it’s the company’s distinct business style. It is an efficiently run, hands-on company, with short lines of communication to owners and executives. You’ll always get a live person answering the phone during business hours, never a recording. Throughout its years of exponential growth, HHD has maintained a warm and family type atmosphere in the company. Customer Service has always been the number one priority of Holiday House. As the industries expanded and merged, Vending and Water products were added to the catalog. As the demand for additional products grew, we began producing our own

line of products, airpots, thermals, racks and replacement parts. Holiday House now stocks over 6,000 products with many more in development. Holiday House Distributing has been a member of NAMA and previously NCSA for over 38 years. Butch has served on the National Board of Directors and has served as Chairman of the OCS Committee and continues to be a member. Insurance Claim Process Flowchart

First thingMondaymorning you receive that phone call from the “frantic” customer! “Your coffee machine sprung a leak over the weekend and not only did the flood cause damage to our office, but the business beneath us is flooded as well!” What do you do…? Over the years, Holiday House Distributing has been faced with these issues as well. In the past we just took the information, gave it to our insurance company and just let things play out. Or worse, you just sent your customer a check to resolve the issue, and then figure it out with your insurance company later. We have seen this many times. By the time the insurance company gets all of the information they require the“Statute of Limitations”is over, leaving your company with a claim that cannot be settled and you are out hundreds and sometimes thousands of dollars. We have realized that this is not the best thing to do for your company or your customers. There must be specific guidelines in place so that these issues can be resolved and handled in a timely manner with your insurance carrier. After all, this is what you pay those monthly premiums for! Nobody wants to deal with issues from litigation for a claim that could have been resolved with just a little communication with the claimant and the insurance adjusters. We have been working with our insurance company and set up procedures that have helped us cut down on insurance claims, which cuts down on payouts by our insurance company therefore cutting back on our insurance rates. The following procedures have been set in place by Holiday House Distributing and hopefully this can help your company devise a system that you can benefit from as well. • Must receive written notice of claim within 30 days of incident • Photos of equipment, parts, damage to property must be supplied with the notice of claim • Proof of purchase (invoice #, product #, serial #) • Date of Installation (installation work order) • Investigate the claim. (Was the cleaning crew in the office? Did they move the equipment to clean under/around it? Who did the installation? Were there issues with the equipment or parts in question previously?) • Incident Report – report must state the findings of claim • The equipment must be available. The insurance company will need to inspect it. •HHD is NOT responsible for any parts, defects, losses or damage to any property or persons on any items sold or installed. Holiday House Distributing, has always strived to be “NUMBER ONE” in customer service. We hope this information gives you some insight on how to handle insurance issues in our industry. It has worked for us and hopefully these guidelines can help your company as well.

Each insurance company will deny the claim until the responsible party is determined.
